Job Description:

We are looking for a dedicated and organized Office Administrator who is fluent in English, French, and Dutch. The ideal candidate will support our customers through phone and messaging, supervise and assist team members in their tasks, and ensure the smooth operation of our office.

 

Key Responsibilities:

  • Respond promptly and professionally to customer inquiries in English, French, and Dutch.
  • Handle customer complaints, provide appropriate solutions and alternatives within the time limits, and follow up to ensure resolution.
  • Assist customers with placing orders, returns, and tracking shipments.
  • Maintain customer records by updating account information.
  • Resolve product or service problems by clarifying the customer’s complaint, determining the cause of the problem, selecting and explaining the best solution to solve the problem, and expediting correction or adjustment.
  • Supervise and support other team members to achieve their tasks efficiently.
  • Manage administrative tasks, including scheduling, filing, and office organization.
  • Ensure office operations and procedures are organized and efficient.
  • Follow communication procedures, guidelines, and policies.
  • Support showroom sales and inquiries as needed.

 

Qualifications:

  • Proven experience in an administrative or office support role, preferably in a larger business environment.
  • Strong organizational skills and attention to detail.
  • Excellent multitasking and time-management skills.
  • Strong phone contact handling skills and active listening.
  • Familiarity with CRM systems and office management software.
  • Excellent communication and presentation skills.
  • Customer-oriented and able to adapt/respond to different types of characters.
  • Fluent in English, French, and Dutch (both written and spoken).
  • High school diploma or equivalent; college degree preferred.

 

Work Hours: Full-time, 38h/week. 

Salary: Competitive salary based on experience and qualifications, with benefits.

Reporting Line: This position reports directly to the CEO.
